Job Description


Established in 2019, Deborah Foundation is a registered non-profit organization with a mission to improve the lives of children with Down Syndrome and other intellectual disabilities through support in the areas of Health, Education and Policy Advocacy.

Summary

The Executive Assistant provides high-level administrative and executive support to a senior leader. This role is responsible for managing the executive's calendar, coordinating meetings and travel, handling sensitive information, recording and writing minutes of meetings, and serving as a trusted partner and gatekeeper. The Executive Assistant must possess exceptional organizational, communication, and problem-solving skills, with proficiency in Amharic and English to ensure the efficient operation of the executive office.

Responsibilities

  • Manage scheduling and calendar for the executive.
  • Draft, review, and send communications on behalf of the executive.
  • Organize and prepare for meetings, including logistics and document preparation.
  • Attend meetings and accurately record and prepare minutes of meetings for official record and follow-up.
  • Answer and respond to phone calls and relay messages to the executive.
  • Prioritize emails and respond when required.
  • Coordinate travel arrangements and itineraries.
  • Maintain organized records, files, and important documents.
  • Perform any other duties assigned by the executive.

Location: Deborah Foundation, Head Office, Bole behind Sur Construction

Qualifications

  • Bachelor's degree in any field.
  • Minimum 1 year of experience as an Executive Assistant or in a similar senior administrative role.
  • Proven proficiency in speaking, reading, and writing Amharic and English (Afaan Oromo is an advantage).
  • Demonstrated ability to handle highly sensitive and confidential information with discretion.
  • Strong verbal and written communication skills.
  • Excellent organizational and project management skills with the ability to multitask and meet deadlines.
  • Proficiency in office productivity tools, calendar management, and administrative technologies.
  • Adaptable, proactive, and able to work independently in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • Professional demeanor and commitment to excellent service.

  • Excellent written and verbal communication skills.
  • Excellent typing and documentation skills.
  • Strong time management and attention to detail.
  • High level of organization and multitasking ability.
  • Proficient in Microsoft Office and common office software.
  • Strong interpersonal skills.
