Job Summary

The Logistic Assistant’s impact directly affects the quality and timeliness of the delivery of a range of different services for which the unit is accountable. The impact of these services indirectly affects the timely completion of other processes for clients and reflects directly on the overall reputation of the supply team in terms of quality and responsiveness to client needs. The Logistic Assistants’ client interface focuses on the coordination and planning of routine supply chain activities, including the transportation of goods and materials, purchase orders, contracts, delivery and payments. These relationships are important to ensure that deadlines are met, and that work results adhere to regulations, rules and guidelines.

Key Responsibilities

  • Based on GIT and data obtained from logistics and procurement teams, plan incoming local supplies to ensure the availability of suitable warehouse space.
  • Receive supplies from local vendors by ensuring that Proof of delivery, Inspection reports, Goods Receipt Notice (GRN) and Put-away documents/transactions are completed accurately.
  • Bin cards are accurately completed and affixed on all cleared and local supplies at each bin locations. The data on bin cards are always accurate with VISION.
  • Supplies received are stored separately with consideration with batch lots, expiry dates and suitable put-away locations.
  • Issue and file correctly, in Logistics files, all documents related to warehouse (Goods received notes, dispatch waybills including details of consignees to be able to trace any goods and supplies to provide Program/Supply & logistics Sections with information /document in a timely manner.
  • Warehouses are maintained/serviced and always remains clean.
  • Oversee safe practices by third party contractor in the warehouses and ensure that facilities are repaired timely / requests for repairs are submitted in a timely manner.
  • Support Senior Warehouse Associate with the loading of vehicles to dispatch supplies.
  • Coordinate the put-away and receipt of all returned supplies both into physical bin locations and in VISION. Communicate with programme sections the returning of all supplies.
  • Responsible for the supervision of ancillary/casual laborer works at locally procured supplies warehouses.
  • Perform any other assignments as requested by the supervisor.

Required Qualifications

  • Education: Completion of Secondary Education is required.
  • Work Experience: At least 4 years of relevant work experience in Supply Management/Contracting/Logistics, Warehouse Operations, Inventory Control, Procurement Support, Distribution Operations, Transport Coordination, Records Management, Health & Safety, Emergency Response Activities and any other related fields.
  • Language Requirements: Fluency in English is required.

Required Skills and Competencies

  • Skills: Communication Skills, Team Collaboration, Results Driven, Planning Skills, Instruction Compliance, Technical Expertise.
  • Desirables: Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset. Inventory Accuracy, Supply Chain, Accountability Mindset, Service Orientation, Warehouse Operations. Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts is an asset.
