Job Description


Background of IRC

The International Rescue Committee (IRC) helps people whose lives and livelihoods are shattered by conflict and disaster to survive, recover, and gain control of their future. Founded in 1933 at the request of Albert Einstein, the IRC works with people forced to flee from war, conflict and disaster and the host communities that support them, as well as with those who remain within their homes and communities.

Began work in Ethiopia, 1999 in response to severe drought that happened in Ethiopia's Somali region. Currently, providing assistance in ten different regions implementing emergency and development programs in health, water and sanitation, economic recovery and development (ERD), women's protection and empowerment, education, child protection, and multi-sectoral emergency response.


Internship Program Overview

The Supply Chain Intern will support IRC's supply chain compliance efforts by ensuring procurement documentation is complete, accurate, and audit‑ready across both Addis Ababa and field offices. The role focuses on strengthening documentation standards, enhancing digital filing quality across Integra and Box, and supporting procurement teams to meet SOP requirements. This internship provides hands‑on experience with procurement compliance, ERP systems, digital record management, and audit preparation.


Major Tasks

  • Review and verify all procurement attachments uploaded in Integra, ensuring alignment with each procurement method and threshold.
  • Audit Box folders to confirm file accuracy, naming consistency, and proper link management.
  • Identify and flag missing or incomplete documentation (e.g., missing signatures, bid summaries, RFQs, BEPs).
  • Create and maintain a Master Procurement Index mapping physical files to digital records across offices.
  • Conduct weekly spot checks to evaluate threshold compliance (Direct, Single, Competitive procurement).
  • SOP Implementation: Assist in the workflow for new procurement requests to ensure they follow the refreshed SOP from the outset.
  • Reporting: Maintain a tracker of compliance rates across various departments and field offices to identify where more training is needed.
  • Vendor Record Maintenance: Update and verify the Vendor Master File documentation (e.g., ensuring business licenses and tax registrations are valid and correctly uploaded).
  • Audit Preparation Support: Prepare "Audit Ready" folders for upcoming internal/external reviews, ensuring every transaction is "Audit-Proof" based on the SOP checklist.
  • Process Improvement: Suggest methods to automate or simplify the filing process within Integra to reduce manual errors and duplication of work.

What You Will Gain

  • Audit Readiness: Understanding of how to prepare procurement files for internal and external donor audits.
  • Attention to Detail: Developing a "quality-first" mindset for financial and legal record-keeping.

Educational Requirements

  • Recent graduate or final year student in Procurement & Supplies Management, Business Administration, or Information Management.
  • Proficiency in Microsoft Office (specifically Excel for tracking) and familiarity with digital filing systems.

Language Skills

  • Proficient in Amharic and English writing and speaking skills.
