Job Description


The Faculty Secretary is responsible for providing administrative and secretarial support to faculty members and academic departments to ensure smooth daily operations. The role involves managing office documentation, coordinating communication, supporting academic scheduling, and maintaining organized records within the faculty office.

Key Responsibilities

  • Provide administrative and secretarial support to faculty staff and department heads.
  • Manage incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Organize and maintain academic records, files, and office documentation.
  • Assist in scheduling meetings, academic calendars, and appointments.
  • Prepare basic reports, letters, and official documents as required.
  • Support coordination of faculty events, workshops, and meetings.
  • Maintain confidentiality of academic and administrative information.
  • Ensure smooth day-to-day office operations and follow up on assigned tasks.

Qualification

  • Level 3+ in Office Management, Secretarial Science, ICT or related field.

Skills

  • Advanced MS Office skills (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Good organizational and time management skills.
  • Ability to multitask and work under minimal supervision.
  • Attention to detail and accuracy in documentation.
  • Professional behavior and confidentiality handling.

Skills Required

  • Computer/Software/IT/Data.
  • Customer/Service/Secretarial.

HOPE Enterprises began in 1971 with Jack and Evangel Smith, they were American missionaries living in Addis Ababa, Ethiopia, opened their home to twenty street children offering them basic needs, schooling, skill training, and love. Upon Smith’s departure from Ethiopia, a group of concerned Ethiopians began running the organization with the continued mission of leading those living on the margins of society towards self-sufficiency. HOPE Enterprises operates as an Ethiopian Christian NGO, employing close to 400 people, with continued devotion to serving the marginalized through holistic human development. As one of the first local NGOs in Ethiopia, the organization was registered as a humanitarian association in 1974. Since then, they have successfully grown to operate two feeding programs for people living on the streets of Addis Ababa and Dessie, seven elementary schools, five high schools, numerous vocational training and adult literacy programs throughout Ethiopia, and Hope College of Business, Science & Technology in Addis Ababa.
